unlocking agility with the Cisco Customer Experience Enterprise Agreement (CXEA)
Managing Cisco licensing shouldn't slow your business down. Here's how the CXEA, and the right partner, changes that.
If you've ever tried to keep track of a growing Cisco environment, you know that it can be challenging: multiple contracts, different renewal dates, hard to track invoices, and a procurement team often spending more time chasing paperwork than driving value. As Cisco accelerates its transition toward software-defined networking (actively decoupling hardware and software to deliver more open, flexible architectures), managing licensing intelligently becomes primordial.
The Cisco Customer Experience Enterprise Agreement, or CXEA, was designed to fix exactly this. And when structured correctly, it doesn't just simplify your licensing. It fundamentally changes how your organisation scales, budgets, and operates.
what is the CXEA, exactly
The CXEA is a single, unified agreement that consolidates your Cisco software, services, or a combination of both into one structured framework. Instead of juggling dozens of contracts across different teams and business units, you get one agreement, one renewal cycle, and one clear view of your entire Cisco environment.
Available in 3-, 5-, or 7-year terms, the CXEA covers six major Cisco technology portfolios:
- Networking Infrastructure: including DNA/Catalyst software, Meraki, and data centre networking
- Applications Infrastructure: AppDynamics, Intersight, ThousandEyes
- Collaboration: Webex Suite, Calling, Contact Center
- Security: Secure Access, Cloud Security, Threat Response
- Provider Connectivity: routing and optical solutions
- Services: software support and Success Tracks
The result is contract consolidation that gives IT and Procurement back what they lose most in fragmented environments: time, visibility, and control.
true forward: growth without the penalty
One of the most misunderstood and underappreciated features of the CXEA is True Forward. In a traditional licensing model, unexpected growth means renegotiating contracts mid-cycle, receiving back charges, or paying penalties. It's a model that punishes agility.
True Forward flips this logic entirely. Under a CXEA, if your usage grows during the year, there are no penalties and no back charges. Additional consumption is reviewed at the annual anniversary and simply reflected in future billing. In practice, this means first-year additions to licensing and support are effectively free, a significant financial advantage for organisations scaling fast or going through acquisitions.
Beyond that, each technology suite includes a built-in growth allowance of 15% per year. If growth stays within that threshold, there's no adjustment at all. If it exceeds 15%, an "early True Forward" kicks in to align billing with actual usage. Again, without penalties or surprise costs.
price protection: budgets you can actually trust
Cost predictability is one of the most tangible benefits of the CXEA. With traditional licensing, invoices rarely land when expected. Usage fluctuates, renewal dates pile up, and finance teams are left trying to forecast costs based on incomplete data.
The CXEA replaces this uncertainty with multi-year price lock-in and consolidated billing. You know what you're paying, when you're paying it, and why. There are no hidden surprises. And if your needs shift over time, the value shift mechanism lets you reallocate the value of unused licenses toward other eligible licenses within the same technology suite, so nothing goes to waste.
For organisations that commit fully (what Cisco calls a Full Commit) the rewards go even further: the highest discount levels unlocked and maximum peace of mind within the agreement.
scaling without constraints
New projects, mergers, and unexpected growth demand speed. Traditional licensing models aren't built for that. The CXEA is.
With built-in flexibility, your organisation can adopt new technologies, expand usage, or shift direction without waiting for new quotes or new contracts. One framework supports your roadmap instead of holding it back. This is especially relevant in today's environment, where AI-driven workloads, cloud migrations, and network modernisation projects can generate rapid, unpredictable demand for new Cisco capabilities.
why the right partner makes all the difference
A CXEA is a powerful tool. But unlocking its full potential takes experience. Navigating the nuances of contract structure, True Forward calculations, consumption tracking, and value optimisation on your own adds significant internal overhead, and leaves room for costly mistakes.
This is where we come in. As a certified Cisco Premier Integrator, we were among the first partners in EMEA to deliver large-scale Enterprise Agreements, and we have positioned and managed multiple CXEAs for global organisations, including one of the largest CXEAs in the entire EMEA region.
What does working with us actually look like?
- Before activation: we host a kick-off session to walk your team through the implementation steps and set clear expectations.
- Upon purchase: you receive a tailored welcome pack, including a True Forward calculation sheet with your licenses, NTE (not-to-exceed) pricing, and budget forecasting.
- Throughout the agreement: monthly consumption reporting and advisory support, starting from month one, taking the standard Cisco reporting approach one step further to provide greater visibility and control.
That last point matters more than it might seem. Standard Cisco reporting provides True Forward updates 90, 60, and 30 days before the anniversary date. We start reporting from day one, giving you continuous visibility into consumption costs, growth rates relative to your 15% allowance, and underconsumed technologies, so you can act before issues arise.
We also act as your single point of contact throughout the entire duration of the agreement. No hand-offs. No repeated explanations. No delays, with direct and responsive support whenever you need it. Our Enterprise Agreement team is by your side from day one to day last, handling the complexity so your teams stay focused on the business.
clarity, control, and confidence, from day one
The CXEA is a strategic framework that gives your organisation the financial predictability, operational flexibility, and technological agility to grow without fear of unexpected costs or contractual friction.
